    NEUF architect(e)s is looking for a senior executive assistant to provide support to the firm’s Partners, to meet the firm’s daily needs and to manage general administrative activities. The primary tasks and responsibilities required of the position are:

    General Administration

    • Drafting, processing, monitoring and filing of documents according to company standards, policies and procedures (French and/or English)
    • Insuring transmission, reception, scanning and filing of documents
    • Monitoring of activities and registrations with the Registre des Lobbyistes
    • Monitoring and filing security clearance certification requests for Canadian government projects
    • Monitoring of activities, communications and renewals with professional orders and associations
    • Managing conference room reservations

    Assistance to the partner

    • Assist the Partner in his/her executive management tasks and in his/her role as manager of the projects assigned to the team
    • Assist the Partner in the advancement of his/her projects
    • Ensure that the Partner’s timetable is respected
    • Make reservations for conferences, restaurants, hotels and air travel as needed
    • Process the Partner’s expense sheets
    • Process the Partner’s correspondence and ensure follow-up and distribution of same
    • Collaborate with the Partner’s projects team, and assist as needed
    • Draft letters and documents (letters, emails, tables, reports, forms and others), drafting and processing/monitoring of electronic signatures and seals (Notarius)
    • Ensure accuracy of information and calculations, and compliance with form and content
    • Collect and provide information to open projects
    • Draft agreements with consultants, consortium partnership agreements, contracts, amendments to contracts, memoranda of understanding, and other project documents according to phases | Transmissions, resending, follow-up and filing
    • Draft and transmit minutes of project meetings as needed
    • Support accounting department for follow-up of invoicing related to projects (collate information and archive supporting documents)
    • Monitor projects in litigation

    Required skills

    • • Minimum of 5 years’ experience in a position with similar responsibilities

    Reporting to the Partner Architect, this person will work with the Sustainable Strategies team and support the firm's various project teams. The ideal candidate demonstrates attention to detail in their work, the ability to multi-task, synthesize information, and an interest in the various environmental certifications. The main responsibilities will include:

    • Act as a project manager to ensure successful project realization, in accordance with contractual needs and objectives;

    Under the supervision of a NEUF Partner Architect, the successful applicant for the position will be responsible for estimating and analyzing project costs, as well as completing construction budget proposals. The primary tasks and responsibilities required of the position are:

    Responsabilités

    • Read, analyze and extract relevant information from plans and specifications
    • Quantify costs of materials, labour and equipment
    • Perform budget estimates and verifications for change orders and amendments
    • Carry out information and worksite visits

    The intermediate architectural technologist is part of a collaborative reporting to the Partner Architect in charge.

    Responsabilités of the position include:
